Kultiflo Software: Built In South Africa For The Cannabis Clubs Running It
Cannabis clubs are physical places, but there is a lot happening behind the counter that members never see.
Membership applications need to be managed. Stock needs to be accounted for. Farmers need to know what they have supplied. Clubs need records showing where products came from, where they went and what happened along the way.
Kultiflo is a South African software platform built to bring those moving parts together.

Software Built From Experience Inside Cannabis Clubs
Kultiflo didn’t begin with someone looking at the cannabis industry from the outside and deciding it needed another piece of software.
Founder Steffan already had experience inside the club environment through Tiny Town in Pretoria.
That gave him a view of the less glamorous side of operating a club: keeping track of members, stock, suppliers, transactions and all the records generated during a normal day.
The original idea grew from solving those practical problems.
Instead of adapting generic retail software for a cannabis club, Kultiflo has developed tools tailored to how these organisations actually operate.
Today, the company describes Kultiflo as the “compliance spine for South African cannabis clubs”, with a shared digital record stretching from cultivation through to the member.
One System, Different Parts Of The Club
One of Kultiflo’s strengths is that it doesn’t expect everyone involved in a club to use the same screen.
The platform is divided into four main interfaces: an Admin Portal, Point of Sale, Farmer Hub and Front Desk.
Each handles a different part of the operation.
At reception, staff can manage membership applications, validate South African ID numbers, check that applicants are over 18 and capture consent information.
Behind the counter, the Point of Sale handles transactions, stock levels, member lookups, different payment methods and cash-ups.
Administrators get the larger picture, including inventory, memberships, settlements and reporting.
Farmers have their own side of the system, allowing crops and harvests to be recorded and consignments to be followed through to individual clubs.
Rather than several spreadsheets, notebooks and disconnected systems trying to talk to one another, Kultiflo is designed around a single shared ledger.
Following Cannabis From Plant To Member
Traceability is one of the most interesting parts of the Kultiflo platform.
Kultiflo describes its system as seed-to-share traceability.
Products can be linked back through a harvest to their original source, while the system records different stages as cannabis moves through cultivation, consignment, inventory and sharing with members.
That creates a history behind the product.
For a club operator, it can help answer some fairly important questions.
- Where did this flower come from?
- How much arrived?
- What remains in stock?
- Which farmer supplied it?
- Has that farmer been settled?
- What happened when the numbers didn’t match?
Those aren’t particularly exciting questions when you’re sitting in a lounge enjoying the atmosphere, but they become extremely important when you’re responsible for running the place.
Keeping A Closer Eye On Stock
Anyone who has worked in retail knows that stock has a habit of developing a personality of its own.
Kultiflo tackles that problem with live inventory and point-of-sale transactions designed to prevent two terminals from allocating the same stock simultaneously.
It also includes a blind stock-counting mode.
Instead of telling a staff member that the system expects 50 grams and inviting them to find 50 grams, the expected quantity can be hidden during the physical count.
If the figures don’t match, the variance can be recorded along with a reason.
It is a small feature, but it demonstrates the thinking behind the software.
Kultiflo isn’t just about putting numbers into a database. It is trying to create a clearer record of why those numbers changed.
Bringing Farmers Into The Same System
The people growing for cannabis communities are another important part of the picture.
Through the Kultiflo Farmer Hub, growers can register crops, assign QR codes to plants, record harvests, list products, and track amounts owed across different clubs.
A farmer can therefore remain connected to the product after it leaves the grow.
For clubs working with multiple cultivators, that provides another layer of organisation. For farmers supplying more than one club, it provides a single place to track those relationships.
Kultiflo has also been built with multi-club operations in mind.
A member can belong to multiple clubs and retain separate membership information for each, and farmers can supply several clubs through the same wider platform.
Membership Without Another Clipboard
Club membership is another area where the platform tries to replace paperwork with a clearer digital process.
Kultiflo’s Front Desk functionality supports South African ID validation, an automatic 18+ age check, digital consent capture, photographs, signatures and digital membership cards.
Day visitors can also be handled through a pass system with an expiry period.
Existing membership lists don’t necessarily have to start again either, with Kultiflo supporting bulk member imports from Excel.
For established clubs sitting on years of spreadsheets and forms, that could be particularly useful.
